Shield HQ LTD (“Shield HQ”, “we”, “our”, “us”) is committed to protecting your privacy. This policy explains what personal information we collect, how we use it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
Shield HQ LTD is a private limited company registered in England and Wales (company number 17047843), operating as a security services provider based in Birmingham, United Kingdom.
For the purposes of UK data protection law, Shield HQ LTD is the “controller” of any personal data we collect about you through this website.
2. What information we collect
We only collect personal information you actively give us, namely:
- Contact form submissions: name, company / venue name (if provided), email address, phone number (if provided), the service you’re interested in, and the contents of your message.
- Email correspondence: if you email us directly, we’ll hold the contents of that email and any attachments.
- Server logs: our hosting provider records standard request metadata (IP address, browser type, referring URL, timestamp) for security and fraud-prevention purposes. These logs are not used to profile individuals.
We do not use tracking cookies or third-party analytics on this website.
3. Why we use your information (lawful basis)
We process your personal data on the following lawful bases under Article 6 of the UK GDPR:
- Legitimate interests — to respond to your enquiry, provide you with a quote, and discuss potential security services.
- Contract — if you go on to engage Shield HQ for services, to perform that contract.
- Legal obligation — where we’re required to retain records (e.g. tax, regulatory, or insurance purposes).
4. Who we share your information with
We don’t sell your personal data. We share it only with the following categories of trusted service providers, strictly to operate this website and respond to you:
- Vercel Inc. — hosts shieldhq.co.uk. Server logs are processed on our behalf.
- Resend (Plus Five Five Inc.) — sends contact-form submissions to our enquiries inbox.
- Email providers — the inbox provider that delivers email to support@shieldhq.co.uk.
Each of these providers operates under their own data processing terms and is contractually required to handle your data securely.
5. International transfers
Some of our service providers (e.g. Vercel, Resend) operate global infrastructure. Where personal data is transferred outside the UK or European Economic Area, those transfers are protected by appropriate safeguards such as UK-approved Standard Contractual Clauses or an adequacy decision.
6. How long we keep your information
- Enquiries that don’t lead to a contract: retained for up to 12 months, then deleted.
- Active client correspondence: retained for the duration of the engagement plus 6 years (to meet UK accounting and limitation-period requirements).
- Server logs: retained by our hosting provider for a short rolling period (typically 30 days).
7. Your rights
Under UK GDPR, you have the right to:
- Access a copy of the personal data we hold about you
- Have inaccurate data corrected
- Have your data erased (where we have no overriding legal basis to retain it)
- Restrict or object to our processing of your data
- Receive your data in a portable format
- Withdraw consent at any time, where consent is the lawful basis

If you’re unhappy with how we’ve handled your personal data, you have the right to complain to the Information Commissioner’s Office (ICO):

9. Cookies
This website does not currently use any tracking, advertising, or analytics cookies. The only cookies that may be set are strictly-necessary cookies used by our hosting provider for routing and security purposes; these don’t identify you personally.
If we add analytics in future, we’ll update this policy and provide a cookie banner where required.
10. Changes to this policy
We may update this Privacy Policy from time to time. The “last updated” date at the top of this page reflects the most recent revision. Material changes will be highlighted on the homepage for at least 14 days.
